here has been set up for daily practical use and then of course you can go deeper into your information and productivity data in your workspaces and this includes stuff like time tracking which

is buil in it includes habit tracking which is built in it includes note taking with the notes embedding on the relevant Pages it includes a move the needle feature it includes a mobile

version and so much more there are time stamps in the description if you want to jump to specific sections but if you want to watch the full thing then let's go through headquarters all right well let's start the Tour by looking at the

big picture stuff this here is the life buckets so we have your Journal we have your admin Fitness business relationships family and friends study career and job and when you click on one of these Pages Fitness for example you

see all of the relevant tasks to do with Fitness you'll see all of the relevant notes and all of the relevant projects so they all automatically show up on this page here and what this helps you

to do is avoid context switches so I'll show you how this works I'll just scroll up and add a fake task here go for for a run I'll leave out the importance urgency and state for now we'll talk about that later and we'll add the

bucket here of fitness and then I'll click here on project and we'll just create a new one called marathon training so as you can see Fitness shows up here and we have marathon training and if I click on marathon training here

I can say if I wanted to show up under a life bucket as well and we do so we'll say that this is to do with Fitness by the way of course something like this that you do often can be turned into a habit but we'll talk about that later

and you know what we'll do we'll click on marathon training here and add a deadline so let's say I have next week to train for this Marathon I'm only giving myself one week and I'll change the status here to deadline so I have

the project here of marathon training it's on March the 1st and it's to do with Fitness so if I scroll down now and click on the fitness bucket here I can see go for run and if I scroll down I can see here marathon training and the

notes will appear in here as well this eliminates context switching so what I can do is just open this up full page so now when I'm thinking about Fitness I don't get distracted by everything else in my life it's kind of like driving

from one destination to the next it takes about 20 minutes for your brain to do that contact switch so by having these life bucket Pages here with everything relevant showing up we won't get distracted by everything else and

these are all automatically set up here with job being slightly different as you can also time block your workday which is pretty cool so that's the life buckets here if we scroll up and have a look at projects here they work kind of

similar now as you can see we have uncompleted projects overdue projects broken down by the different buckets favorite finished archived and all projects so we'll just look at the

uncompleted projects here as you can see a project has all the relevant tasks all of the relevant notes and all of the relevant bottlenecks bottlenecks is a way of journaling about the issues that

you're facing with a specific project my feet hurt okay so that's my problem and I can click here on template when I run it hurts my feet so I can start writing here about the bottleneck that I'm

facing but we're not just going to write randomly what we're going to do is make this actionable so as I write here I can figure out how to fix this issue and you know what I need to buy new shoes so as

I'm doing this I can literally add tasks directly in here and of course I can fill out the different buckets and projects and urgency and importance all of that which I'll get to later in this talk but having this space here to write

bottlenecks is really really useful because for every project you're doing you most likely run into things that are slowing you down so this here is your project and as you're working you'll

probably add stuff under the no status or no status depending on how you say it so let's say you are writing a book and you can add this to a life bucket let's say that this is for your business for

example let's say that this here doesn't have a status so it's not ongoing it doesn't have a deadline it's not one of your favorites it's not completed hasn't moved the needle I'll talk about that

later and it's not archived so what I will do is just sit here under no status and what I recommend doing I talk about this in my course is only having five projects that you label as favorite

three for your income whether that's your job or your business and then two in your personal life so let's just say project one here once you complete it we're going to move it from the favorite

to either completed or move the needle so let's just say that this one is completed and now you have the room to lift in the next one so you'll look at all of your no status projects here and you'll say you know what write book I'm

ready to lift that up let's put that as a favorite this means that this project now is one that you're going to actively make time for this way of organizing my projects has been really useful so we've gone through our life buckets we've gone

through our projects now let's have a look at our individual tasks so I've set this up to be really really practical for you in an everyday setting so here you can you know write whatever task you

have write resume pay electricity bill whatever it is I'll show you how these work but I also want to show you how they connect with a calendar because this is something that not a lot of templates do this database is the same

as this database which is the same as this database I try to use the fewest amount of databases possible when building this template because if I say go for a run here and click today that

automatically then shows up here these here are the same database we're just seeing the information as a table here and here we're seeing it as a calendar and then these here are also the same

databases as this one here but what I'm doing is using different settings to see the information differently I wanted the template to be practical and not just aesthetic and because everything is

connected if I say go for a run today and I tick in done it gets ticked in and removed from here don't worry you can still find it here under all this week and it gets removed from this task list

here and if I scroll up here you can see go for a run under my day today it's been checked in here it's all connected it's all speaking to each other we're not using an app for your task list an

app for your calendar an app for time blocking it's all happening in the one workspace and of course if I click here on marathon training and go to my completed tasks you can see here that this is checked in here February 22 go

for a run everything is connected and is speaking to each other this took a really long time to build and figure out but that's what makes it such a powerful backend so let's go through the Eisenhower Matrix here an incredible

productivity method and I've built that in directly here if I have buy new shoes here you know what it's not that important to be honest but it is pretty urgent because I do have blisters then

we have pay electricity bill this is important and this is urgent as well as you can see the tasks are literally reordering themselves so under this order tab the tasks get ordered

automatically by using the eyes and hour Matrix so if I just say random task here and I say that this is urgent but important as you can see once again it jumped up above buy new shoes or let's

say random task here I changed this to not urgent as you can see it jumps down here in the list so this is automatically organizing your task list here with the Eisenhower Matrix then the

next feature here is the state of so here we have flow quick easy and personal flow tasks require deep focus these most likely take 1 to 3 hours to

do then we have quick tasks these are like 5 minute tasks then we have easy tasks these are probably 20 minutes to 1 hour long but they just don't involve that much cognitive demand and then we

have personal tasks like hanging out with a friend or something so let's go through this we have right resum let's make that a flow task that's going to involve a lot of cognitive Focus pay electricity bill that is a quick task

buy new shoes that's a personal thing and then let's just say that this random task is a flow task as well and then we can fill out the bucket and the project as we went through before so we'll just do this quickly right resume here that

is to do with my career growth so I'll click on Career here we'll add a new project called find a new job so I've created that here meaning it will show up here find a new job pay electricity

bill that's admin let's be honest that doesn't need a project buy new shoes that's admin as well again it doesn't need a project and let's just say that this random task here uh let's just say it's to do with career as well let's

just change it to update LinkedIn Banner for example so now that I have my task list it's time to look at the next big part of your productivity which is your calendar so your calendar here is broken

down by month so you can see your entire month you can see all this week which includes the stuff that's been completed and we have your week's tasks which will only show you tasks that you haven't

done so let's just add all of these here to today so what I'll do is Click here on date and I'll click on today's date and as you can see it shows up here right resume or if you want you can

simply drag it like this and now it's showing up here or if you want to add multiple two today then you can simply click here click here and now you've selected two and now you can drag both of these in like that so as you can see

these tasks here all now have today's date so it's showing up here in my calendar and it's also showing up here under my dayto day this here is my time blocking feature and I'll get to that

but first I want to show you my state- of Mind productivity rule so here we have flow task quick task flow task and personal so what I'll do here is just add another task as an example we'll

just say update sales page for example add the bucket here of business add the project here of sales page let's say it's urgent and it's important and it's a flow state so I've added that task and

I can see it here I can see it here and of course I can see it under my month as well now what I'm doing by adding this hypothetical task here is breaking my productivity rule when I work I try to

only have two Flow State tasks per day the brain can only really focus for about 4 to 5 hours per day with full cognitive demand so here we have this flow task this flow task and this flow

task and if all flow tasks take about 2 hours then this is 6 hours here of cognitive demand you might achieve it for one day but it won't be sustainable for the rest of the week so what I'll do

here is look at this and say okay which one of these flow tasks here can I move to tomorrow so I'll look at these and you know update LinkedIn Banner here that is to do with the project here of finding a new job so I'll look at these

and say you know what I have find a new job and find a new job it makes sense then to move the sales page task to tomorrow or you know whenever you want in the week that way I'm not context switching because here I'm thinking

about finding a new job and here I'm thinking about finding a new job so I'll have the one context to think about throughout the day and I'll have a sustainable calendar because I'm only doing two flow tasks per day so now that

we've had a look at our week let's have a look at our day so here is my day today let's say I went for a run at 6:00 a.m. are you impressed I didn't do that

a.m. are you impressed I didn't do that by the way so I'll look at my tasks here and rearrange them to time block my day also known as time boxing also known as just daily scheduling but what I'll do

here is rearrange these so I'll say right resume I'm going to do that first so let's say that this here is at 8:00 a.m. then update the LinkedIn Banner you

a.m. then update the LinkedIn Banner you know what I'll do that after so I'll do that at 10:00 a.m. and then here pay electricity bill let's say that's at 1:00 p.m. and then buy new shoes I'll do

1:00 p.m. and then buy new shoes I'll do that later let's say 2 p.m. so I've

literally time blocked my day and as I'm working I can tick these off simply like that time blocking has been crucial for my productivity now you might have seen I have this column here called minutes

so what I can do here is fill out how long these are taking so let's say I did a 20 minute run writing the resume that took me 2 hours and the link de Banner let's say 100 minutes so as I'm working

I check these in and then I fill out how long it took me now the amazing thing here is if I scroll down and go to time tracking it literally shows up in here

so here I can see the task of update LinkedIn Banner 100 minutes converts to 1.67 hours 120 Minutes converts to 2 hours so in total for find a new job

I've spent 3.67 hours and for marathon training here in total I can see I've only spent 20 minutes training this is automatically showing up in the time tracker page and it gets broken down by

buckets it gets broken down by project and you can also see this data based on just this this month which is really really cool now I'll be totally honest with you this isn't how I timet track instead I actually use a code so what

I'll do is Click plus here and I'll click on formula I'll just write Cal time here the calendar time and I will paste this formula here it is linked in the description if you want to use it

and I'll click on save this is the way that I actually do my time tracking and I've done this for well over a year now and it's completely changed my life so I'll show you how this works and I'll just delete these times here and I'll

take those tasks as well just to show you how this works so calendar time here if I click on open in calendar those tasks automatically show up here in my notion calendar and what I can do is

literally just drag these tasks in here so go for run let's put that there at 9:00 a.m. write resume let's say 1 hour

9:00 a.m. write resume let's say 1 hour here update LinkedIn Banner let's say I took a very long time to do that buy new shoes put it here electricity bill put that here update sales page let's just

drag that out like this so what I'm doing is time blocking in my calendar but not only am I time blocking here I'm also time tracking so this data is now

automatically showing up it's converting my notion calendar into minutes so let's take all of these off here like that and now I'll scroll down and go to my time tracker and now what we're going to do

is click on this three dots here and say properties and we'll click here to show this calendar time that we created so this calendar time now automatically is showing up and it's calculating this

data from my notion calendar I've done this for a year I know exactly which buckets I'm spending my time on which projects I'm spending my time on and it lets me re-evaluate what I'm doing based on real data so speaking of time

tracking let's go through all of the different workspaces so here we have notes and resources and the cool thing is you can have notes in here you can add them here note one and open this up

and take your notes in here but that's not the way I like to work I like to use these buttons up here so these are the quick buttons and what I can do is literally click on take a quick note

note goes here this is my note very creative of me and I can literally say the life bucket and project and topic of interest that it's relevant to so I'll say the relevant life bucket for this is

uh let's just say Fitness the project here is to do with marathon training and let's say the topic of Interest here is running so I can add that here so I've now filled out these notes details I've literally just clicked this button and

taken that note and now it's going to show up in all of the relevant places so under here under marathon training look at that we can see note goes here that note is showing up where I want to see

it and if we scroll down and we go to fitness here as you can see note goes here that is showing up here and of course if you click on topics here and click on running then you can click on new topic here which is the built-in

template and that note is showing up here with any relevant resources so let's talk about resources just like we can add a quick note we can add a quick resource how to run that's the name name

of the book and the type here is book the topic of interest is running the Creator is Dr run we can say if we finished it we can say the status so let's say that this is a book that I

want to buy we can add a URL and we can even add a review to it of course you can't review the book If you haven't read it so now when I'm talking to a friend I can just add this quickly click away now that resource has been added

and just like notes it's showing up where I want it so under resources here I can click on books and I can see here how to run and I can click on topics and I can see here under running I can see I

want the book how to run notes and resources are really really powerful and again we don't need a different app it's built into to our One dashboard it took me so so long to try and build this in a

way where everything is connected and seamless without being busy or cluttered and then of course you can add tasks here as well with these quick buttons then here under personal all of your personal tasks will show up here so you

can see buy shoes is showing up on there you have a timetable feature if you're a student you can add your classes in here so you have this timetable page and these here are literally connected to your projects so let's say you have a

business class you can add that in here and this isn't just like a random table this is literally a database if you click on business now this business class will now open up with all the relevant tasks notes and bottlenecks

really really powerful then you have your ideal schedule which works kind of similar where you can design your ideal week we have move the needle which I'll talk about later under habit tracker here all of your habits will

automatically show up in here here now this isn't a separate database like most people do it's built in here so if I have drink 2 L of water for example and

this urgency here is a habit let's say I tick that in so I drank my 2 lers of water today if I scroll down and click on habit tracker here I can see drink 2 lers of water showing up here we don't

want to separate your habit tracking it's built into your task database so drink 2 L of water that's just a task that you need to complete today hence it's showing up here but then if you want to dive into your habit then that's

when you can click on your habit tracker page and see that data in here then we have the open Loops page which is any unfinished projects or unfinished tasks showing up this is really useful if you're someone who kind of worries like

oh have I finished everything is there anything I haven't thought about that stuff will show up in here so maybe at the end of the day you can open this up and see you know what all of these unfinished tasks they're not a problem

and you can finish the work day knowing that all of these open Loops aren't a problem then we have your topics which we looked at and here we have mobile HQ this is like a mobile friendly version of this dashboard so you have the quick

buttons here like adding tasks and adding notes and adding resources and you can see your tasks here as a gallery instead because on the phone databases can be a bit small so you can see your tasks here divided by the ones you

haven't completed and the ones you have completed and of course if I untick this as you can see it shows up here and by the way on your phone you can make this mobile HQ page into a widget that way you can open this page up directly now

let's talk about my favorite feature and a lot of people's favorite feature this is the one that I get the most amount of emails about so if we click on plus here and we scroll down we can see journal entry weekly review and monthly review

if I click on weekly review here I can do a review of my week here that is truly unlike anything I've ever seen I love journaling but the difficulty was I struggled remembering what I've actually

done in the week so what I built was when you do your weekly review automatically everything you've completed this week shows up here in a database I can see every habit that I've

completed here so if we go back here and I'll just add some examples 2 L water I'll tick this in cuz I unticked that and I'll say drink 2 L water again check

that in urgency habit if I go back here to the weekly review and scroll down as you can see I can see here my habits this week showing up and I can see my bottlenecks down here as well so now when I'm doing my weekly review I can

literally fill out these questions here based on real data my data is showing up automatically in my weekly Rev you so looking at my task list completed do I feel like I accomplished enough what

were my biggest distractions this week I can write about that and then there's this exercise here which so many people love which is what did I do this week that really helped move the needle change these importance to move the

needle I love this it changed my life I know I've said this a lot but I tested out countless productivity methods and only included the ones in this template that will actually help you and hopefully change your life so pay

electricity bill you know what that didn't actually change my life and I'll go through these tasks here and let's just say that I rewrote my resume and when I sent it in I actually got a job

offer well what I can do here is change this importance here to mov the needle and as you see it disappears from here and it gets added to Needles this week this is the stuff that's actually moved

the needle and what I do is play this game of trying to ensure that as many tasks I do every week actually move the needle at the start it was barely any per month that were actually moving the

needle and now it's most tasks and this really just came from doing this exercise here of reviewing what I'm doing so you can do that again here you can also talk about your projects that might have moved the needle let's just

say hypothetically I managed to write this book finish it and it did wonders and it really progressed my career well I can change the status here from fave to move the needle so tasks can move the

needle and finishing projects can move the needle so I'll click away I've done my weekly review and my monthly review well if I ever want to revisit this data I can click here on move the needle and I'll open up this page p and here I can

see all of the tasks that I've done that have moved the needle and I can click here on move the needle projects and see all of the projects that have moved the needle this page here can change your life which tasks and which projects have

you done in the past that have moved the needle and once you pick up on those patterns maybe you should prioritize doing more of them this Dynamic journaling as I call it has changed my life and so many others now the last

thing to look at at this template is this routine here so these habits here come preloaded and what you can do is click on these three Dots here and edit and we can change this habit here so

let's say running just to make it easy change habit 2 here let's just say this is drink 2 L of water now let's say that's something I want to do every day on this routine button I'll just drag

this to a separate line and click on this gear icon what I can do is drag in my new habits so I'll delete these three here click on running and click on the

plus and click on drink 2 L of water and what I'll do is literally just drag running in here and I'll drag 2 L of water in here and I'll click on done and

I'll just drag this back now here so it's sitting at the top now what I can do is literally just click on the routine button and then drag these here directly into my day so this routine button here allows me to automatically

generate these tasks here and just drag them into my day remember habits are just tasks that you need to complete today of course if you don't want to use the routine button because we're using notion you can't just right click on

this tab it here and you can click on repeat and you can decide how often you want these to show up so this could automatically here just show up every single day it's got a simple front end as you can see but a really powerful

back end with your tasks projects life buckets notes resources and so much more in the One dashboard you can duplicate the template in one click and start adding your projects and your tasks in
